Parts Associate – New Bern, NC

 Pro-Serv Food Equipment
 Location: New Bern, NC
 Department: Parts
 Employment Type: Full-Time
 Pay: $20-$25/hour, based on experience

Position Summary

Pro-Serv Food Equipment is hiring a dependable, organized, detail-oriented Parts Associate for our New Bern team. You will make sure parts are accurately identified, ordered, received, tracked, and returned so our technicians can finish jobs and our customers stay up and running.

The right person is comfortable in a fast-paced service environment, handles multiple priorities, communicates clearly with technicians and vendors, and takes ownership from start to finish. At Pro-Serv, assigned means owned: a purchase order is complete only when every line is received, returned, credited, or resolved, and documented.

Key Responsibilities

Ordering and purchase orders

  • Identify and research commercial food equipment, refrigeration, and HVAC parts using model and serial numbers, parts diagrams, and manufacturer resources.
  • Review technician requests for a data plate, model, serial number, part description, and diagnosis, and stop to verify if anything is uncertain.
  • Create and manage purchase orders in ServiceTrade, tied to the correct work order, asset, vendor, and technician. No order is placed without a valid PO number.
  • Order through Parts Town, our required primary source. Use another source only when the OEM part is unavailable or the customer requests a different part, and document the reason.
  • Before ordering a customer-requested non-OEM part, explain that it voids Pro-Serv’s 60-day repair warranty for that repair, and document the customer’s approval.
  • Check warehouse, technician, and branch stock before ordering.
Tracking and communication

  • Review open POs daily and follow up on backorders and past-due shipments.
  • Give dispatch and customers confirmed ETAs only, and communicate delays early.
  • Communicate with technicians, managers, vendors, and dispatch about parts needs and order status.
  • Escalate critical delays, unavailable parts, price changes, and disputes promptly.
Receiving and staging

  • Receive parts and verify them against POs and packing slips, checking for damage, shortages, and wrong items.
  • Label, organize, and stage parts for the correct technician or job, and notify dispatch when the job is parts ready.
  • Coordinate technician parts pickups.
Returns and credits

  • Process returns, RMAs, and cores, including defective and warranty parts.
  • Track returns until the replacement arrives or the credit posts.
Inventory and documentation

  • Upload quotes, packing slips, invoices, tracking, and return documents to the PO and job.
  • Assist with inventory counts, adjustments, and warehouse and truck stock, and record every transfer.
  • Research discrepancies involving missing, incorrect, damaged, or unreceived parts.
  • Keep parts areas, shelves, and job-specific parts organized.
  • Follow all Pro-Serv purchasing, receiving, inventory, and documentation procedures.
What We’re Looking For

  • Strong organizational and time-management skills
  • Excellent attention to detail
  • Ability to manage multiple orders and priorities at once
  • Strong written and verbal communication with technicians, vendors, dispatch, and management
  • Basic computer skills and the ability to learn ServiceTrade and vendor systems
  • Ability to research independently and know when to ask for help
  • Dependable attendance and consistent follow-through
  • Ability to work independently and as part of a team
  • Experience with commercial food equipment, HVAC/refrigeration parts, appliance or automotive parts, warehouse operations, purchasing, or inventory is preferred but not required for the right candidate. Military supply or logistics experience is welcome.
What Success Looks Like

  • Parts are ordered correctly the first time
  • POs and job documentation stay accurate and current
  • Incoming parts are received and staged promptly
  • Backorders and overdue shipments are actively followed up
  • Returns, cores, and credits don’t sit unresolved
  • Technicians get the right parts when they need them
  • Emails and assigned tasks are handled, not left to pile up
  • Problems are escalated quickly
Physical Requirements

This position may require standing, walking, bending, reaching, and working in warehouse and parts-storage areas throughout the day. You must be able to safely lift and move boxes, equipment parts, and inventory as required.

What We Offer

  • $20-$25/hour, based on experience
  • Benefits: health, PTO, retirement, etc.
  • A defined process, clear expectations, and a team that depends on your work
